1. Introduction

PilotLedger is operated by Drones Inbound LLC ("we," "us," "our"). This policy describes how we collect, use, and protect your information when you use the PilotLedger platform.

By using PilotLedger, you consent to the practices described in this Privacy Policy.

2. Information We Collect

• Account information: name, email, company name, phone, address (provided during registration).
• Business data: quotes, invoices, client records, expenses, deliverables (created by you on the Platform).
• Payment information: processed and stored by Stripe — PilotLedger does not store credit card numbers.
• Usage data: login timestamps and feature usage patterns (for performance and reliability monitoring).
• Directory profile: bio, services, certifications, insurance status (voluntarily provided for public listing).
• Cookies: session cookies for authentication only — we do not use tracking or advertising cookies.

3. How We Use Your Information

• To provide and maintain Platform services.
• To process your subscription billing through Stripe.
• To send transactional emails (verification, password reset, invoice notifications, quote notifications).
• To improve Platform performance and reliability.

We do NOT:

• Use your data for advertising.
• Sell your data to third parties.
• Share your data with third parties except as described in Section 5.
• Use your data to train AI models.
• Access your business data (quotes, invoices, client records) unless you specifically request technical support.

4. Data Ownership

• You own all Content you create on PilotLedger.
• We claim no ownership rights over your business data.
• You may export your data at any time.
• Upon account deletion, all your data is permanently deleted within 30 calendar days.

5. When We Share Information

• With Stripe: to process payments (governed by Stripe's privacy policy).
• With email delivery services: to send transactional emails (email addresses only).
• If required by law, court order, or legal process.
• To protect the rights, property, or safety of PilotLedger, our users, or the public.

We never share your business data (quotes, invoices, client lists) with anyone.

6. Data Security

• All data transmitted over HTTPS/TLS encryption.
• Database access restricted to authorized systems only.
• Passwords are hashed using bcrypt — we never store plaintext passwords.
• Two-factor authentication available for account security.
• Regular security monitoring and updates.

7. Data Retention

• Active accounts: data retained for the life of the account.
• Cancelled accounts: data retained for 30 calendar days after account closure, then permanently deleted.
• Login attempt records: automatically purged after 24 hours.
• Payment records: retained as required by tax and financial regulations.

8. Your Rights

• Access: you can view all your data through the Platform at any time.
• Export: you can export quotes, invoices, and client data as PDFs or CSV.
• Correction: you can update your account and profile information at any time.
• Deletion: you can request complete account and data deletion by contacting support.
• Opt-out: you can unsubscribe from non-essential communications (we only send transactional emails).

9. Children's Privacy

PilotLedger is not intended for use by individuals under 18 years of age. We do not knowingly collect information from children.

10. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be communicated via email at least 30 days before the effective date. Continued use of the Platform after the effective date constitutes acceptance.
